Data Integrity Tool
Today, Data Integrity is crucial to your MUNIS® financial & personnel system. Without a high level of data integrity, results produced from the system may be misleading or difficult to interpret. This is why a thorough use of the Data Integrity Tool is so important. The software reports on many of the requirements derived from the federal Common Core Data (CCD) standards. Proper implementation of these standards ensures Kentucky’s data will properly align with national data.
The Data Integrity Tool focuses on the General Ledger & Payroll areas. Data accuracy in other areas of MUNIS is also important. Areas such as fixed assets, employee demographics and the clean up of obsolete system files are but a few examples of future enhancements to the software. The Data Integrity Tool is the only software tool available to help ensure this data is consistent throughout the system and the state.
But don’t think that fixing information in MUNIS is a one-time event. Not only will you use this tool over and over, but the tool will grow continuously as more and more integrity checks are placed into the software. Remember, the tool informs you of 57 specific topical areas that may need change. You make the changes manually.
Think of it this way…whenever you find an area of MUNIS that needs to be verified for consistency or completeness, this integrity check can be submitted for inclusion into the Data Integrity Tool. You can have direct input into the software design!!
How does the software work?
The Data Integrity Tool compares against the Department of Education and CCD standards. The software allows you to pick and choose what areas of MUNIS to examine, enabling you to be selective in your request. When necessary, you may also be able to supply parameters to make your integrity checking more specific to your needs.
What areas of MUNIS are examined and will the software check everything?
Much of the CCD standards are able to be automated within the program. In addition, other integrity issues will be added over time. The software:
- Finds potential issues with the data for PSD and CSD reporting
- Validates General Ledger segments against the General Ledger account records
- Validates the Org code elements against MUNIS segment data
- Compares General Ledger account segments against the standards
- Validates the Org Key codes against the KDE Key code list
- Ensures Function codes are valid within the Fund
- Checks for obsolete KDE segment values, EG Function 28XX, Key code 068, etc
- Reviews administrative expense accounts for distribution to school based units
- Checks employee reference salary for accuracy
- Reports federal grants where employee benefits are not properly distributed
Unfortunately, there are certain types of validity checking that cannot be automated, requiring someone to manually examine the data. For example, the standards require Function 2700 to contain only transportation to and from school. Identifying inappropriate charges is not possible in the software. Whenever possible, the checking is automated.
What do my results look like?
The results of the software are placed in an Excel® spreadsheet, providing you with an easy way to sort and manipulate the areas needing change.
Will the software change the MUNIS system for me?
No. Only direct entry into MUNIS can change the areas affected by the CCD standards.
